1. About these Terms

These Terms of Use (“Terms”) govern use of the entry website (the “App”) for the Huntington University 22nd Annual High School Art Exhibit (the “Exhibit”). The App and the Exhibit are operated by the Robert E. Wilson Gallery at Huntington University (the “Gallery,” “we,” or “us”). The Gallery Director is responsible for overseeing the Exhibit and the information collected through the App. By registering, submitting artwork, or giving permission through the App, you agree to these Terms. If you do not agree, do not use the App.

2. Who may use the App

The App may be used only by:

Children under 14 may not register or submit information themselves.

3. Teacher submissions: consent and authority

By registering and submitting any student's work through the App, the Teacher represents, warrants, and agrees that:

  1. Student and parent consent. Before submitting, the Teacher has obtained the consent of each student whose work is submitted and, for any student under eighteen (18) years of age, the consent of that student's parent or legal guardian, to: (i) enter the work in the Huntington University 22nd Annual High School Art Exhibit; (ii) provide the student's name, grade, school, and artwork details and photograph to the Gallery through the App; and (iii) display the student's name, grade, school, and artwork at the Exhibit and in the Exhibit materials described in Section 5.
  2. Authority. The Teacher is authorized by their school to submit student work and information on the school's behalf, and the submission complies with the school's and school district's policies on student information, including any requirements for disclosing directory information.
  3. Original work. Each work is the original work of the named student, was created within the time required by the Exhibit criteria, and does not infringe anyone else's rights.
  4. Accuracy. The information submitted is accurate, and the Teacher will correct it promptly through their private link (before the entry deadline) or by contacting the Gallery.
  5. Withdrawal. If a student or parent withdraws consent, the Teacher will remove the entry through the App before the deadline, or notify the Gallery promptly after it.

The Gallery relies on these representations and does not independently verify that consent was obtained. The Teacher should keep any consent records according to their school's practices.

4. Home-schooled and independent students

Independent Students must be at least 14 years old and must provide a parent or legal guardian's name, email address, and phone number. The Gallery emails the parent or guardian, who must review the work and give permission through the App before it can be displayed. If permission is not given within 14 days of our first request, or if permission is declined, the student's registration, contact information, entries, and photographs are deleted automatically. By giving permission, the parent or guardian agrees to these Terms on the student's behalf.

5. Permission to display the artwork

The student keeps all copyright in their artwork. By submitting work, the submitter grants the Gallery a limited, non-exclusive, royalty-free permission to display the work at the Exhibit (January 22 – February 12, 2027); to photograph it and use those photographs and the student's name, grade, and school for entry processing, judging, wall labels, the awards list and awards announcements, and the Gallery's records of the Exhibit. The Gallery will not sell the work, reproduce it for sale, or use it in commercial advertising.

6. Information we collect and how we use it

What we collect. About students: name, grade, school (or “Home-schooled / Independent”), artwork title, media, size, and a photograph of the artwork, and for Independent Students, their age. About Teachers and parents/guardians: name, email address, phone number, and delivery method. We ask that photographs show the artwork only, not people. We do not collect students' email addresses, home addresses, or dates of birth.

How we use it. Only to run the Huntington University 22nd Annual High School Art Exhibit: processing entries, communicating with Teachers and parents/guardians, printing inventory lists and tags, checking work in and out, judging, wall labels, and awards.

No selling or outside sharing. We never sell student or contact information or use it for advertising. We do not share it with anyone except: (i) as displayed at the Exhibit and in the Exhibit materials described in Section 5; (ii) Huntington University's IT staff and the email service that host and operate the App for us, who may use it only to provide that service; and (iii) when required by law.

Who can see it. Entries are not public. They are visible only to the submitting Teacher (and other Teachers at the same school, through the school's passcode), the Independent Student and their parent or guardian (through their private links), and Gallery staff.

How long we keep it. Unapproved Independent Student information is deleted as described in Section 4. Other information is kept through the end of the Exhibit and pickup (Thursday–Friday, February 18–19, 2027 (tentative)) and afterward only as long as needed for the Exhibit's records, and no longer than one year after the Exhibit closes (February 12, 2028), when it is deleted automatically.

Your choices. A Teacher, student, or parent/guardian may ask to see, correct, or delete information by contacting the Gallery Director at the Robert E. Wilson Gallery, Huntington University. Deleting an entry before the Exhibit withdraws it from the Exhibit.

7. Passcodes and private links

School passcodes and private entry links give access to entries. Keep them confidential and share a school passcode only with art staff at that school. Tell the Gallery right away if you believe one has been misused; we can reset it.

8. Delivery, care, and pickup of artwork

Artwork must meet the Exhibit criteria and be delivered and picked up on the published dates. The Gallery will take reasonable care of the work while it is in the Gallery's possession, but is not responsible for loss or damage except as caused by the Gallery's own negligence. Shipped work must include a prepaid return label. The Gallery may decline to display work that does not meet the criteria.

9. Acceptable use

Do not submit false information, submit work or information without the required consent, upload anything other than photographs of the entered artwork, attempt to access other schools' or students' entries, or interfere with the App.

10. Changes to these Terms

We may update these Terms. The date at the top shows the latest version. The version in effect when you registered applies to that registration unless you agree to a newer version.

11. Governing law

These Terms are governed by the laws of the State of Indiana.
